Simple Guide to Applying for a Work Visa (Engineer/Specialist in Humanities/International Services)
If you are already living in Japan and planning to start a new job or change your employment status, you may need to apply for or change your residence status (visa).
This article explains how to apply for the "Engineer/Specialist in Humanities/International Services" visa (commonly called "Gijinkoku") step by step in simple English.
1. Choose the Right Visa Type
Many professionals fall under the "Engineer/Specialist in Humanities/International Services" visa category. It covers a wide range of jobs such as IT, marketing, translation, design, accounting, and more.
2. Get a Job Offer from a Japanese Company
To change or obtain a visa in Japan, you need a job offer (employment contract) from a company located in Japan. Once your job is confirmed, it's time to start preparing the documents.
3. Prepare Required Documents
As the applicant, you should prepare the following documents
・Copy of your passport
・ Resume (in Japanese and your native language)
・ Graduation certificate
・ Transcript or proof of major (e.g., for engineering roles)
・ Photo
・ Residence card (if you already have one)
Visa applications must be submitted by the applicant, but if you feel unsure about the procedures or Japanese-language communication, hiring an administrative scrivener (Gyoseishoshi) can help the process go smoothly.
4. Apply for a Change of Status or Certificate of Eligibility (CoE)
If you already hold a different visa, you will need to apply for a "Change of Status of Residence." For first-time applicants, a Certificate of Eligibility (CoE) is required, and the review process usually takes about 3 months. If you hire a Gyoseishoshi (administrative scrivener), the entire application process—from submission to CoE issuance—can be completed online. This makes the process smoother and more convenient, even within Japan.
5. Receive Your New Visa and Update Your Residence Card
Once your change of status is approved, your residence card will be updated with your new visa type. You’ll visit the Immigration Office to finalize the procedure.
6. Start Your New Job!
After all procedures are complete, you can begin working at your new company with peace of mind.
Extra Tips:
・Your job duties should closely relate to your university major or previous work experience.
・ Incorrect or incomplete documents may result in denial, so double-check everything.
・ If you are unsure about the process, asking for help from a Gyoseishoshi (licensed administrative scrivener) can greatly increase your chances of approval and reduce stress.
